Map the work before you choose a tool.

Start with one repeated task that has a clear beginning and a clear result. A customer enquiry, weekly report, or document request is easier to test than a plan to “automate the business.”

  1. Write down the trigger. What arrives, changes, or reaches a deadline?
  2. List the steps people take today. Include the tools used, information copied, and decisions made.
  3. Mark the human checks. Decide who approves the result, handles exceptions, and can stop the workflow.
  4. Test with safe sample data. Try ordinary cases and awkward ones. Compare the output with the way your team works now.
  5. Measure one useful result. Track time saved, fewer missed follow-ups, or a shorter wait for the next step.

Choose a starting task

Three workflows worth mapping.

These are starting exercises, not finished systems. Each needs your own process, approved data, and a person responsible for the result.

Customer enquiries

Capture the request, prepare a summary and a draft reply, then have someone check commitments before sending.

Recurring reports

Collect agreed inputs, prepare a draft summary, and check the numbers and interpretation before sharing.

Document intake

Record what was received, flag missing information, and hand the file to the right person for review.

More detailed, industry-specific guide modules will be added as they are built and checked.
